Description: We are seeking a Marketing Program Specialist (Permanent, Full-time) in our Toronto Office. This role is responsible for the support and service of the marketing and communications team. The successful incumbent will contribute to the successful delivery of high quality projects for internal clients, both lawyers and business professionals. Updates the teams regularly and stays current with new systems. Works in a supportive, efficient and productive team environment.
Major Responsibilities and Duties:
- Assist Senior Manager with internal trafficking of projects through the writing, creative and production stages
- Oversee the day-to-day coordination of projects for efficient and effective workflow
- Maintain detailed Status, Activity and Issues reports for larger projects
- Maintain media buy and editorial calendar
- Work directly with external vendors, obtain project schedules and advise project team of any delays or variances
- Participate in weekly status meetings
- Respond to requests for logos and images.
- Foster a good working relationship with internal clients, either through direct contact or in support of client needs
- Collect and file competitive communication and samples
- Research and prepare journalist profiles
- Prepare monthly expense report for department credit card and process supplier invoices
- Train on design software to be able to support small design requests
- Train on CMS to be able to support small updates to osler.com, as needed
- Provide other administrative support to Senior Manager as needed
Position Requirements:
Education and Experience
A post-secondary degree / diploma in marketing or equivalent experience. The incumbent has at least three years’ marketing project management experience in a professional services or B2B company. At least a year of related experience in the print/promotional/production industry in a service or production role would be considered an asset.
Knowledge and Skills
- Strong time management, scheduling and problem-solving skills
- Expertise in Microsoft Word, Excel and PowerPoint.
- Experience working with content management systems (CMS)
- Strong interpersonal skills with colleagues, internal clients and external vendors, as well as written communication skills.
- Enjoys being challenged, embraces responsibilities
- Self-starter who can plan, organize and prioritize while minimally supervised.
- Demonstrates strong customer service orientation and professionalism.
- Strong attention to detail and a record of delivering on time and on budget
- Ability to work independently and as part of a team
- A “can do” attitude, outgoing and enthusiastic
- Works well under pressure and deadlines
- Logical, work-oriented, and analytical
- Knowledge of InDesign and MS Expressions is an asset
